Overview
Our company mainly sources luxury goods from the UK and exports to Hong Kong, serving customers from Chinese-speaking countries.
We are seeking an experienced business support manager to join our team. The successful candidate will will play a crucial role in providing administrative support and ensuring the team operates efficiently. This role serves as the main point of contact and work closely with many departments. The successful candidate need to be flexible, well-organized, and able to multitask.
The job requires both English and Manderin Chinese skills for dealing with global business in addtion to solid international trade experience, strong administrative skills and rich luxury goods knowledge.
Job Summary
To coordinate and execute daily business activities for Imperial Grace Ltds team and business partners
Key Responsibilities
- Business Operations & Administrative Support
- Oversee day-to-day business operations to ensure efficiency and seamless coordination between departments.
- Manage and maintain luxury product shipping documentation, including invoices, customs declarations, bills of lading, and compliance reports.
- Streamline workflows and processes to optimize operational performance.
- Client & Partner Relations
- Act as the primary liaison between clients, suppliers, and logistics partners, ensuring timely and accurate communication.
- Build and maintain strong relationships with luxury brand partners and international clients to support business growth.
- Address inquiries, resolve trade-related issues, and provide exceptional client support.
- Logistics & Supply Chain Management
- Collaborate with freight forwarders and shipping companies to monitor shipments, optimize delivery timelines, and reduce costs.
- Track luxury inventory movement and maintain accurate records of product shipments and stock levels.
- Ensure products meet customs requirements, luxury standards, and international trade regulations.
- Financial Oversight & Reporting
- Prepare reports on sales performance, shipping schedules, and inventory management for senior leadership.
- Support invoice processing and payment tracking with suppliers and clients.
- Team Support & Coordination
- Work closely with the sales and operations teams to align on goals and strategies.
- Provide administrative support for executive meetings, reporting, and presentations.
- Coordinate internal processes, including team schedules and task prioritization.
- Compliance & Quality Assurance
- Ensure compliance with international trade laws, luxury product standards, and company policies.
- Proactively identify and mitigate risks in supply chain operations and product handling.
Qualifications & Skills
- 3-5 years of experience in business support, trading operations, or logistics within the luxury goods or fashion industry.
- Strong understanding of international import/export regulations and supply chain processes.
- Exceptional communication, negotiation, and relationship-building skills.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with ERP or CRM systems.
- Detail-oriented with excellent analytical, problem-solving, and organizational abilities.
- Bilingual in English and Mandarin to manage global partnerships is highly preferred.
- Knowledge of luxury product categories and high-end market dynamics is a strong plus.
Job Type: Full-time
Pay: £38,700.00 per year
